Receiving Instructions 

When receiving any equipment shipments, please follow these important steps before you or your agent sign the Delivery Receipt or Bill of Lading (BOL).

  • Check the quantity received. Make sure the quantity received is the same as stated on the BOL. If short, note the shortage on the delivery receipt/BOL while driver is present.
  • Inspect the condition of each item. Make sure each is in good condition. If damaged, note the damage on the delivery receipt/BOL while driver is present. Be as specific as possible when noting damage. Statements such as "possible hidden damage" are not considered noted damage.
  • Damaged merchandise must be left in the original carton and remain unused at the original delivery location.

Contact PrimeSource immediately at (800) 737-8567 to file a freight claim with the carrier and to issue applicable credits.

NOTE: PrimeSource cannot issue full credit for lost or damaged items that are not properly noted on the delivery receipt/BOL. If you choose not to inspect your products upon delivery and damage is found at a later time, the damage is considered "concealed damage." You will be required to file the claim with the carrier for concealed damage. Contact PrimeSource at (800) 737-8567 for instructions on how to file a claim. PrimeSource adheres to the National Motor Freight Classification (NMFC) regulations in dealing with concealed damage, as outlined below.

Concealed Damage
In case of concealed damage, the burden of proof lies upon the receiver to prove that the product was damaged by the carrier. If the driver has already left the delivery site, a carrier has no proof that the product was indeed harmed in their possession.

The National Motor Freight Classification (NMFC) states that concealed damage must be reported to carriers in writing within 15 calendar days to be considered for payment by a carrier.

If you should experience concealed damage, you should leave the product in its original packaging and notify PrimeSource immediately at (800) 737-8567 to obtain information on how to file a freight claim. The product must remain unused, with the original packaging, at the original delivery location.
